ARCHIVING POLICY

  1. Introduction

Journal of ELT in Focus is committed to the long-term preservation and permanent accessibility of the scholarly research it publishes. We recognize the importance of maintaining a complete and enduring record of academic contributions for future researchers, historians, and the public. This policy outlines the measures ELT in Focus and its publisher, the English Language Education Department, Faculty of Teacher Training and Education, Universitas Singaperbangsa Karawang, undertake to ensure the continued availability of our published content.

  1. Description

Digital archiving in scholarly publishing refers to the series of processes and activities that ensure information of continuing value is identified, preserved, and made available to users over time, regardless of technological changes or the lifespan of the original publishing platform. The primary aims of ELT in Focus's archiving strategy are:

  • To ensure permanent and uninterrupted access to all published scholarly articles.
  • To safeguard ELT in Focus's intellectual output against loss due to technical failures, natural disasters, or cessation of the journal's operations.
  • To maintain the usability, authenticity, and integrity of the archived content.

ELT in Focus employs a multi-faceted approach to ensure the long-term preservation and accessibility of its content:

  • Publisher-Managed Archiving and Website Access:
    • All articles published in ELT in Focus are permanently available and accessible free of charge on the official journal website: https://journal-fkip.unsika.ac.id/index.php/ELTINFOCUS/index.
    • The website and its content are regularly backed up as part of the IT infrastructure and data management policies of Universitas Singaperbangsa Karawang.
  • Third-Party Digital Preservation Services:
    • ELT In Focus ensures the long-term preservation of its published content through robust, internationally recognized digital archiving services:
      • Portico: ELT in Focus participates in the Portico digital preservation service. This arrangement is facilitated through an agreement between Universitas Andalas and Portico, ensuring that ELT In Focus's complete catalog of published articles is securely archived and will be available for future scholars, researchers, and students if the journal is no longer offered by Universitas Andalas or its own platform.
      • PKP Preservation Network (PKP PN): ELT In Focus utilizes the PKP Preservation Network (PKP PN) plugin available through its Open Journal Systems (OJS) platform. The PKP PN provides free, decentralized, and distributed preservation, further safeguarding ELT In Focus's content by ensuring copies are stored across multiple member libraries in the network.
    • These measures ensure that ELT In Focus's content remains accessible and preserved under various contingency scenarios.
  • Author Self-Archiving:
    • ELT In Focus, as an open-access journal publishing articles under the Creative Commons Attribution-NonCommercial-ShareAlike (CC BY-NC-SA 4.0) license, permits and actively encourages authors to archive and share their work to maximize its visibility and impact.
    • Authors may self-archive the following versions of their articles:
      • Submitted Version (Preprint): Authors are permitted to deposit their submitted version (preprint) on personal websites, institutional repositories, or recognized non-commercial preprint servers (e.g., arXiv, INA-Rxiv, OSF Preprints) at any time.
      • Accepted Manuscript (Author's Accepted Manuscript - AAM / Postprint): Authors are permitted to deposit their AAM (the version accepted for publication after peer review but before copyediting and typesetting) in institutional repositories, subject-specific repositories, or on their personal websites immediately upon acceptance, under the terms of the CC BY-NC-SA license.
      • Published Version (Version of Record - VoR): Authors are permitted to deposit the final published PDF (VoR) of their article immediately upon publication on personal websites, institutional repositories, ResearchGate, Academia.edu, or other non-commercial platforms, under the terms of the CC BY-NC-SA license.
    • When self-archiving any version, authors must provide a full citation to the original publication in ELT In Focus and include a link to the published article on the ELT In Focus website using its Digital Object Identifier (DOI). The CC BY-NC-SA license terms must also be respected and clearly indicated.
  • Persistent Identifiers (DOIs):
    • All articles published in ELT In Focus are assigned a unique and persistent Digital Object Identifier (DOI). DOIs ensure reliable and continued access to the article's location on the internet, even if the URL structure of the journal website changes. Universitas Andalas supports the procurement of DOIs for ELT In Focus.
  • Metadata Harvesting:
    • ELT In Focus supports and permits the harvesting of its article metadata by indexing services, abstracting databases, libraries, and other scholarly search tools (e.g., via OAI-PMH). This enhances the discoverability and accessibility of ELT In Focus's content.
  • Succession Plan / Cessation of Publication:
    • In the unlikely event that ELT in Focus ceases publication, Universitas Singaperbangsa Karawang, as the publisher, will take all necessary steps to ensure the continued preservation and accessibility of all previously published content. This includes ensuring that the content remains available through Portico, the PKP Preservation Network, and/or the Universitas Singaperbangsa Karawang institutional repository. Authors and readers will be informed of any such transition.
  1. Technicalities to Achieve and Materialise the Policies
  • Publication Formats: ELT In Focus primarily publishes articles in PDF format, with HTML versions available for online Browse, ensuring wide accessibility and usability. The source files (e.g., OJS XML) are also archived internally by the journal management system.
  • Backup Procedures: Regular, automated backups of the ELT In Focus website and its entire content are conducted and managed by the IT services of Universitas Andalas.
  • Collaboration with Archiving Services: ELT In Focus, through Universitas Singaperbangsa Karawang, maintains its commitment to Portico for comprehensive, long-term preservation. The journal's OJS platform is configured to utilize the PKP PN, facilitating automated deposit of published content into the PKP PN's distributed network.
  • Website Maintenance: The ELT In Focus website is actively maintained by the English Language Education Department, Universitas Singaperbangsa Karawang, to ensure optimal performance, security, and continuous availability of its content, except during planned maintenance periods (which will be minimized and announced if possible).

This Archiving Policy will be reviewed periodically and updated as necessary to reflect changes in technology, best practices, and available preservation services. ELT In Focus is dedicated to ensuring that its contributions to the field of industrial engineering and systems optimization remain a lasting part of the scholarly record.
